Confirm the agreement and timing
Review notice provisions, termination terms, pending obligations, and the new manager’s start date. If any part of the agreement is unclear, resolve it before sending instructions or transferring responsibilities.
Create a short transition schedule that identifies who owns each task and when it is due. Include your current manager, new manager, and any accounting or legal professionals involved.
Build the handoff inventory
Request a complete property file and check that the records agree with one another. A list of occupied units alone is not enough.
- Signed leases, amendments, renewal dates, and resident contacts
- Current rent roll, ledgers, balances, and deposit documentation
- Keys, access codes, equipment instructions, and warranties
- Open work orders, invoices, bids, and vendor agreements
- Insurance, utility responsibilities, and property-condition records
Coordinate the resident experience
Decide when and how residents will receive the new contact details, maintenance instructions, and verified payment process. Confirm which manager handles existing requests during the transition.
Reconcile financial records and unresolved items at the handoff. Ask the new team to identify missing documents so they can be obtained while the prior arrangement is still accessible.
Review the first month of operations
Check that resident contacts, recurring charges, renewal dates, and maintenance requests are recorded correctly. Review the first owner statement together and agree on the next priorities.
