The lowest advertised percentage is rarely the lowest total cost. A useful comparison looks at what is included, how leasing and maintenance are handled, and whether the management system protects occupancy, property condition, compliance, and the owner’s time.

Start with the management scope

A monthly management fee may cover rent collection, resident communication, accounting, maintenance routing, inspections, lease enforcement, and reporting—or only part of that list. Ask each company to define responsibility in writing.

Compare the actual operating model, not a headline percentage.

  • Leasing or tenant-placement fee
  • Lease-renewal fee
  • Inspection and project-coordination charges
  • Maintenance authorization and markup policies
  • Setup, technology, cancellation, and vacancy terms

Calculate the cost of weak execution

A prolonged vacancy, poor qualification decision, delayed repair, missed renewal, or undocumented resident issue can cost more than the difference between two management proposals.

Evaluate whether the manager has clear processes for pricing, property readiness, applicant review, urgent maintenance, owner approvals, and monthly reporting.

Questions to ask before signing

Ask who will be accountable for your property, how quickly owners and residents receive responses, how after-hours issues are routed, and what information appears in the owner portal.

  • Who owns the relationship after onboarding?
  • How are maintenance estimates and approvals handled?
  • How often is property condition reviewed?
  • How are delinquency and lease violations documented?
  • What happens when the property becomes vacant?
  • How can either party end the agreement?
